Syncing Accounts with Mail, Calendar and People for Windows 8.1
Supported account types
- Microsoft accounts (Outlook.com, Hotmail, Live)
- Exchange ActiveSync (corporate Exchange)
- Gmail (Google)
- Yahoo Mail
- IMAP and POP (mail only; limited calendar/people sync)
Before you start
- Ensure Windows 8.1 is updated and you’re signed into your PC with a Microsoft account for best integration.
- Have your account email and password ready; for work accounts, you may need server/domain info and device-management policies.
How to add an account
- Open Mail, Calendar, or People app.
- Swipe from right (or move mouse to top-right) and choose Settings → Accounts → Add an account.
- Select the account type, enter credentials, and follow on-screen prompts (may include two-factor auth or app-specific password).
- Once added, Mail, Calendar and People share the same account list—changes apply across all three apps.
Sync settings and options
- In each app: Settings → Accounts → select account → Change mailbox sync settings.
- Choose sync frequency (as items arrive, every 15/30/60 minutes, or manually).
- Select which content to sync (email, calendar, contacts).
- Set download preference (full message and attachments vs headers only).
- For Calendar: choose calendar color and default reminders per account.
- For People: choose which contact lists to show (e.g., from Gmail, Outlook, Facebook where supported).
Exchange/Work accounts
- May require server address, domain, and security policies.
- Device may be registered with Exchange ActiveSync; IT can enforce PIN, encryption, or remote wipe.
- If sync fails, confirm with IT whether conditional access or MDM is blocking.
Common sync issues & fixes
- Authentication errors: re-enter password, remove and re-add account, or create an app password for two-factor accounts.
- Missing calendars/contacts: check that those items are enabled in account sync settings; confirm they exist on the server via webmail.
- Slow or no sync: set sync to “as items arrive” or check network connection; try toggling Airplane mode.
- IMAP/POP accounts: these often sync mail only—use Exchange or Google account setup for full calendar/contact sync.
- App crashes or persistent failures: run Windows Update, sign out/in to Microsoft account, or create a new Windows user profile to test.
Tips for reliable syncing
- Use Exchange ActiveSync or native account types (Outlook/Google) rather than POP/IMAP when you need calendars and contacts.
- Keep apps and Windows updated.
- For Google accounts, if calendar/contacts don’t appear, remove and add using the “Google” option (OAuth) rather than IMAP.
- Back up important contacts and calendars via web interfaces before major changes.
If you want, I can write step-by-step screenshots or a short troubleshooting checklist for a specific account type (e.g., Gmail or Exchange).
